How to prepare print ready files

How to Prepare Print-Ready Files (Without Getting Burned)

If you’ve ever sent a file to print and gotten back something… not quite right—blurry logos, chopped-off text, weird colors—you’re not alone. Preparing print-ready files isn’t hard, but it does require knowing a few rules that most people overlook.

At Pascau Design, we’ve seen it all—and we’re here to make sure your next print project is smooth, professional, and exactly what you expected.

🎯 What Does “Print-Ready” Even Mean?

A print-ready file is one that’s correctly formatted for professional printing. This includes:

  • The correct file type and resolution

  • Proper color settings

  • Bleeds and margins set up

  • Fonts and images embedded or outlined

If any of these are off, your printed piece might come out looking… amateurish. Let’s break it down.

✅ 1. Use the Right File Format

Best options:

  • PDF (Press Quality) – our go-to

  • AI or EPS – for vector graphics

  • TIFF – for high-quality images (less common)

Avoid: Word documents, PowerPoints, screenshots, or low-res JPEGs. These are not reliable for commercial print.

🖼 2. High Resolution = High Quality

Your file should be 300 DPI (dots per inch) at actual size.

  • Web images are usually 72 DPI → they’ll look pixelated in print.

  • Always design at print size (e.g. if your flyer is 5″x7″, your file should be 5″x7″ at 300 DPI).

🎨 3. Use CMYK, Not RGB

Printers use CMYK (Cyan, Magenta, Yellow, Black) color mode. RGB is for screens. If you leave your file in RGB:

  • Colors might print differently than what you saw on screen.

  • Rich blacks might turn out dull or muddy.

Pro tip: Convert your file to CMYK before exporting for print.

✂️ 4. Add Bleeds & Keep Safe Margins

Bleed is the extra area that extends beyond the trim edge (usually 0.125″ or 3mm).
Safe margin is the buffer zone where you keep important elements away from the edge.

Why?
When a file is trimmed, even tiny misalignments can cut into your design. Bleeds and margins help keep everything looking crisp.

🔤 5. Outline Fonts and Embed Images

  • Fonts: Convert to outlines (in Illustrator or InDesign) or embed them in the PDF.

  • Images: Don’t link them—embed them. Linked files might go missing during the print process.

🧠 Final Checklist Before Sending to Print

✔ Is your file 300 DPI?
✔ Is it in CMYK color mode?
✔ Did you add 0.125″ bleed around all edges?
✔ Are all fonts outlined or embedded?
✔ Did you save as a high-res PDF?
